Create an invoice

Go to the Invoices tab and click New invoice (or press n). The editor opens with a live preview on the right so you can see exactly what your customer will receive as you build the invoice.

The preview has three tabs — Invoice PDF, Email, and Payment page — so you can check how the invoice looks in each place before it goes out.

Choose a customer

Every invoice needs a customer. Search for an existing customer or create a new one. The customer’s name and email become the bill-to details on the invoice and the address it’s emailed to.

Add line items

Line items are the products and charges you’re billing for. Click Add item and choose one of three options:

Pick a productYou're billing for something already in your product catalog. Its name and price are filled in for you.
Create a new productYou're billing for something you'll reuse later. It's saved to your catalog so you can pick it next time.
Add one-off itemYou're billing for a single charge you won't repeat. Type a name and price just for this invoice.

For each line item, set the quantity and unit price. The amount is calculated for you (quantity × unit price), and the subtotal and total update live. You can add as many line items as you need.

Note

Need to remove a line item or edit its name? Use the menu next to the item. One-off items only exist on this invoice; editing a catalog product’s price here doesn’t change the catalog.

Set a due date

Pick when payment is due. Choose a preset, enter a custom number of days, or select a specific date:

The due date is locked in when you finalize the invoice, and it drives payment reminders.

Add billing and shipping details (optional)

You can add a billing address and shipping details for the customer. Shipping can match the billing address or be set separately. These appear on the invoice PDF when present.

  • Memo — a note shown to the customer near the top of the invoice.
  • Footer — text at the bottom of the invoice, such as payment terms or a thank-you.
  • Custom fields — extra labeled values (for example, a PO number) shown on the invoice.

Save as a draft or finalize

You have two ways to leave the editor:

  • Save as draft — keeps the invoice editable. Drafts aren’t sent to anyone and can be changed or deleted freely.
  • Finalize invoice — locks the invoice, assigns its number, calculates the due date, and creates a hosted payment page. Once finalized, the invoice moves to Open and is ready to send.

Warning

Finalizing is the point of no return for edits. After an invoice is finalized you can no longer change the customer, line items, addresses, or dates — only send it, collect payment, void it, or issue a credit note. Use a draft while you’re still making changes.

If an invoice has a zero balance when you finalize it (for example, fully covered by a credit note), it’s marked Paid right away instead of Open.
